Administrative Assistant – Front Desk

Beckhoff Automation is looking for an Administrative Assistant - Front Desk to join our team! This position is responsible for the front desk coverage, general front desk duties and multi-department administrative support, internal and external.

Responsibilities

  • answer incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department
  • provide information about organization and provide callers with appropriate information
  • welcome on-site visitors, determine nature of business, and directs visitors accordingly
  • assist with administrative duties for various departments such as Excel spreadsheet updating, filing and preparing reports ad hoc
  • assist with new-hire activities and information distribution
  • receive, sort, and route mail
  • manage public email inbox and distribute as necessary
  • follow work plans, established timelines, and pre-defined goals for assigned work
  • maintain office common areas
  • coordinate shared meeting calendars
  • order and stock supplies for the office
  • order meals for miscellaneous office functions
  • coordinate office vendor needs when necessary
  • various additional duties as needed
  • occasional local errands for office/events may be requested

Qualifications

  • high school diploma or equivalent
  • 3+ years of administrative experience in an office setting
  • experience working a multi-phone system
  • excellent communication skills, both on the phone and in person
  • detailed-oriented with strong organizational skills
  • ability to take charge and create innovated solutions to increase effective processes
  • capable of working in a fast-paced environment and has the ability to multi-task
  • ability to work independently with general direction
  • ability to think ahead
  • strong Microsoft Office skills particularly with Excel, Word and Outlook
  • high degree of professionalism
  • previous experience with CRM/Microsoft Dynamics
